The Friday Morning Email That Prevents 80% of Crisis Calls

Updated: Jun 5, 2025

We need to stop getting blindsided by problems our staff knew about days ago.

Most campus directors spend Monday mornings putting out fires that could have been prevented altogether.

Here's the weekly email system that keeps you ahead of disasters.

Send this to ALL department heads every Friday at 9 am - make it mandatory.

The "No Surprises Thursday" Email Template:

Subject: “Weekly Heads-Up – Due by 10 am Friday”

Body: "Team, I need your 2-minute update by 10 am today:

Red Flags (Need my attention Friday):

- Any student threatening to withdraw

- Instructor no-shows or complaints

- Compliance deadlines we might miss

- Technology failures affecting operations

- Parent/student escalations brewing

Yellow Flags (I should know about):

- Enrollment numbers looking off

- Staff scheduling issues next week

- Equipment that needs replacing soon

- Minor policy questions coming up

GREEN (All good): Just write "All good" if nothing needs my attention.

Bullet points only pls. If it's longer than 5 bullets, call me instead.

Thanks,

[Your Name]"

The Result: Directors using this, catch 80% of problems & resolve them in their Friday huddles before they become emergencies.

The Multiplier: When your management system automatically flags at-risk students, attendance issues, and compliance deadlines, this report generates itself, & you're always 3 steps ahead.

If you’d like to save yourself the manual effort, try Gradly FREE for 30 days to automatically generate these reports for you.

Gradly – for Canadian Directors, by Canadian Directors.
